Director of Facilities - Workplace Strategy, Planning, & Analytics

Overview

This is a new role reporting to the Senior Director of Facilities Planning & Operations to ensure our space is allocated and managed efficiently and effectively through strategy development, planning & governance. You will have an opportunity to drive significant change at a time when Broad is significantly expanding its footprint. You'll do this by bringing your thought leadership and being a strategic partner to scientists and leaders across Broad.

The Director will be responsible for the design, development, and implementation of operational strategy for space management at Broad, including planning and reporting, synthesis, and analysis of both financial and utilization data to help inform policy and operational strategy. This position will be required to work closely with other senior members of Broad's leadership team, including the Space Committee composed of research and administrative leaders, to evaluate and identify risks and opportunities to support and define strategic decision making and policy. This role will also be expected to monitor and oversee relocation, renovation, and other space-related projects, and update and analyze space allocation and usage. This role will be responsible for identifying, assessing, validating, and planning for Broad's space needs, particularly laboratory spaces.

The ideal candidate possesses strong data analytic skills, works collaboratively and effectively with diverse groups in a decentralized environment, leads change management, and cultivates talent, facilitates operational improvements throughout the capital planning process, and has excellent verbal and written communication skills - all while managing multiple complex tasks, meeting strict deadlines, and providing exceptional service to our scientific community. The candidate should be a strategic, creative, and collaborative problem solver who is equally comfortable with a spreadsheet or a hard hat, and who can recruit, develop and retain a diverse and high-performing staff.

Representative Duties & Responsibilities

Stakeholder Collaboration

  • Acts as a liaison between Facilities and the scientific community, fostering a culture of data-driven decision-making around space allocation and management.
  • Operates in manner consistent with Broad's culture of experimentation and collaboration

Influence & Communication

  • Uses exceptional communication skills to influence key stakeholders in favor of strategic initiatives.
  • Develops robust relationships within Administration and the scientific community.

Systems Thinking & Problem Solving

  • Ability to frame problems well, identify root causes, drive insights to improve the system, and support decision-makers in strategic and leadership roles to understand and address complex problems.
  • Leverages data to understand problems, solicit ideas and drive process improvement.
  • Leverages space planning and analytics tools to ensure that space allocation is flexible enough to meet the fast-paced world of research, but also aligns with long-term strategic objectives.

Strategic Program Management

  • Plans, manages, and coordinates initiatives and efforts, ensuring alignment with objectives at a more strategic level.
  • Drives continuous improvement projects to optimize operations through organizational performance indicators, scorecards and dashboards related to service quality and performance.
  • Develops frameworks and templates to capture planning information and facilitate transparent cross-functional decision-making.

Change Management

  • Facilitate the smooth implementation of strategic initiatives by collaborating with cross-functional teams.

Mentorship

  • Oversees a team of six employees responsible for space planning as well as space-related reporting and analytics.
  • Serves as a coach and mentor to the team to identify best practices and recommend process improvements.
  • Collaborates with team members to ensure consistency of execution, sharing best practices, and developing knowledge of space tools and practices.

Knowledge & Experience

  • A minimum of ten (10) plus years of progressively responsible and directly related work experience.
  • Demonstrated skill working in scientific, academic, or research space planning strongly preferred.
  • Proficiency in Google Suite products
  • Experience with space management databases (Archibus, Nuvolo) and/or modeling software (Revit, AutoCAD) preferred.
  • Demonstrated experience in transition planning and activation of projects, with the ability to coordinate and facilitate in a decentralized environment.
  • Strong verbal, written, and graphic communication skills and an understanding of a higher education environment, experience being diplomatic and direct as needed, and interest in working in a fast-paced environment while managing a varied workload.
  • Ability to understand customer input in facility related analysis and design; identify root causes and un/intended effects of changes; identify issues, problems, escalations and solutions that are not obvious to others; manage processes that are simple, effective and easy to execute.
  • Proactively remains current on common lab needs, uses, equipment, and configurations for the purpose of being an informed, knowledgeable, and collaborative partner for researchers.
  • Collaborates closely with the Senior Director of Facilities, as well as various campus stakeholders, to understand the 'pipeline' of incoming needs.
  • Ability to create financial, resource, and facility plans appropriate to the scope and urgency of the project; recognize colleagues with appropriate skill sets and develop teams per project needs; monitor project progress at established milestones and reports internally and externally; manage project scope and adjust plan accordingly; establish processes for managing, tracking and communicating project risks, scope creep and escalations.
  • Communicates and persuades effectively with executive and broad, front line audiences through storytelling, data visualization and analytics.
