Join our dynamic healthcare team as an Administrative Associate III, where you will play a crucial role in supporting the Associate Chief of the Division and the Clinical Director. This multifaceted position requires a detail-oriented and organized individual with exceptional administrative skills. Prior experience in academic/hospital environment is strongly preferred. The ideal candidate will have excellent organizational and time management skills with the ability to prioritize tasks effectively, as well as excellent communication and interpersonal skills to collaborate with a diverse team of healthcare professionals.

The Administrative Associate III responsibilities include but are not limited to the following:

  • Efficiently manage and organize calendars for the Associate Chief and Clinical Director, ensuring optimal scheduling and coordination of appointments, meetings, and events.
  • Coordinate special projects to support the clinical leadership team, ensuring timely completion and effective collaboration among team members.
  • Provide general administrative support, mail pick-up and delivery, submit engineering and IT requests, and other tasks as needed.
  • Act as a liaison for medical staff, managing the credentialing and reappointment processes with meticulous attention to detail and compliance standards.
  • Facilitate onboarding for medical students and rotators.
  • Oversee and manage the on-call schedule, ensuring accurate and up-to-date information for clinical staff, and addressing any scheduling conflicts or gaps promptly.
  • Coordinate and manage logistics for clinical meetings, including scheduling, room reservations, preparation of materials, and catering, to facilitate smooth and productive gatherings.
  • Handle the processing of expense reimbursements, ensuring accuracy, completeness, and timely reimbursement for clinical staff.
  • Assists Associate Chief with special projects and preparation of complex reports and documents. Collects and compiles information from diverse sources, performs calculations, creates charts, graphs, and spreadsheets, and performs other related duties as requested.

To qualify, you must have:

  • Work requires a high school level of educational development or GED.
  • Minimum one year of administrative experience required.
  • Work requires an indepth knowledge and understanding of the department and hospital programs, policies, procedures and information related to his/her functions and services.
  • Work requires initiative in improving operations within area/department, and the ability to assists in implementing changes.
  • Work requires the ability to assist in overseeing the daily activities of co-workers to help plan, prioritize and delegate work assignments.
